Privacy policy

This page explains which personal data is processed when you use Haltungsbericht.de. The information relates to the features currently implemented in this project.

2. Accessing the website and hosting

When you access the website, technically necessary connection data is processed, including your IP address, time of access, requested URL, browser and device information and response status. This is necessary to provide the website, resolve errors and secure the server. The legal basis is Article 6(1)(f) GDPR (secure and functional operation). Hosting and technical provision are handled by a server service provider, which may access connection data as a processor. Retention of server logs depends on the logging configuration and the relevant security purpose.

3. Sign-in with Google or Discord

When you sign in with Google, we redirect you to Google. For sign-in, we receive a provider identifier, your verified email address and the account information necessary for authentication. We store the provider identifier and email address to associate your account. Google processes sign-in data under its own responsibility; see Google’s privacy policy. The legal basis for our processing is Article 6(1)(b) GDPR (use of your account). When using Google, data may also be processed outside the EU; details are provided in Google’s privacy information.

When signing in or linking an account with Discord, the Discord user ID and, where verified, email address are stored to associate your account. We request the “identify” and “email” permissions. This sign-in does not read server messages or join any servers. Discord processes data under its own responsibility; see Discord’s privacy policy. The technical authentication permission is used to sign you in and is not permanently stored as an access token.

Linked sign-in providers are visible only in your account settings. If, after confirming the second sign-in, you explicitly merge two existing accounts, we transfer their content and sign-in connections into the selected target account. The second profile is removed. The confirmation stored for this purpose is valid for up to ten minutes.

4. Profile and keeping journals

We store your username, email address and optional information such as display name, description, location, website and profile image. We also process your keeping journals, updates, animal and care information and uploaded images and videos with their captions. Public profiles and publicly published journals are visible to other visitors; private drafts are not public. A public username and content you publish may also be indexed by search engines. The legal basis is Article 6(1)(b) GDPR for the platform features you use.

5. Cookies, sessions and ratings

Sign-in uses a technically necessary session cookie (access_token) valid for up to seven days. A short-lived session cookie is also used during redirection to the sign-in provider to associate the authentication process (up to ten minutes).

When you rate an update as “Helpful” or “Not helpful”, we set the cookie hb_vote_visitor with a randomly generated identifier, valid for up to one year. This identifier contains no name, email address or advertising ID. It is used solely to associate a rating with the same browser, limit multiple ratings and allow you to change or remove your own rating. The identifier is stored with the rating on the server. It is not used for advertising, profiling or cross-site tracking.

These functional and session cookies are used only for the respective requested platform feature (Section 25(2)(2) TDDDG). Processing of session data is based on Article 6(1)(b) GDPR; processing of the anonymous rating identifier and rating is based on Article 6(1)(f) GDPR to provide and protect the community rating feature. The current application code contains no advertising or analytics tracking of its own.

6. External animal data and images

The server retrieves information from external taxonomy sources such as GBIF and Wikidata to classify species. On pages with animal images, images may load directly in your browser from Wikimedia Commons or other external sources. The respective image provider then receives technically necessary connection data such as your IP address. The legal basis for displaying species information is Article 6(1)(f) GDPR (an informative visual service). External links lead to the relevant website only when clicked.

7. Contact

If you contact us by email or telephone, we process your contact information and enquiry to respond to it. Depending on the enquiry, the legal basis is Article 6(1)(b) or (f) GDPR. The message is deleted when no longer needed for processing, subject to statutory retention obligations or legitimate evidence requirements.

8. Deletion and retention

You can delete your account in account settings. Your profile, keeping journals and associated uploaded media are then removed from the active application. Anonymous ratings are not linked to a user account. The rating cookie expires after one year at the latest or can be deleted earlier through your browser settings. Backups and server logs may remain until their respective retention periods expire; statutory obligations and the protection of legal claims remain unaffected. Otherwise, we retain data only for as long as required for the relevant purpose.

9. Your rights

Under the GDPR, you have rights of access, rectification, erasure, restriction of processing and data portability. You may object to processing based on Article 6(1)(f) GDPR on grounds relating to your particular situation. Send enquiries to [email protected]. You may also lodge a complaint with a data protection supervisory authority, in particular the State Commissioner for Data Protection of Lower Saxony.
